For our client, an international Pharma company in Lucerne, we are urgently looking for an Administrative Assistant 100%

Your Responsibilities

Executive Administrative Support:

  • Providing administrative support to execute level
  • Scheduling appointments and meetings
  • Maintaining calendar for executive level employees
  • Preparing expense reports
  • Organizing extensive travels, arranging for booking of flights, accommodation and onsite meetings; keeping track of travels
  • Handling visa applications and checking visa requirements
  • Organizing internal and external events (team meetings and activities, congresses)
  • Creating Purchase Orders and Payment Requests and maintaining overview of same
  • Controlling and regular checking of department budget, close cooperation with Finance

Alps HR Administrator:

  • Coordination of processes between HR teams (payroll, recruiting, HR support center, global mobility)
  • Preparing HR documents (letters, contracts), filing documentation and providing general support for HR processes (such as hires, transfers, reference letters, etc.)
  • Monitoring HR Mailbox and guiding requests to appropriate parties
  • Participating in HR projects (onboarding, employer branding, etc.)

Your Qualification and Skills

  • Commercial education or equivalent. Higher level education preferred.
  • Minimum of 5+ years' experience as administrative assistant, experience working with Human Resources preferred (not required)
  • Excellent oral and written communication in English and German
  • Very strong in MS Office (Word, Excel, PowerPoint, Outlook), IT-savvy
  • SAP knowledge preferred
  • Able to prioritize tasks and cope with a heavy, diverse workload
  • Detail oriented and proactive, with a "can do" mentality
  • Team oriented but able to work independently on projects and assignments
  • Open to feedback & learning
